Client Operations Specialist


We're a growing retirement advice, planning, and implementation firm headquartered in Ridgewood, New Jersey. We're seeking a Client Operations Specialist to assist us in our mission of providing clarity and guidance so that clients can enjoy a comfortable and stress-free retirement.

Your position as an Operations Specialist is not only important, but critical in ensuring smooth day-to-day operations, effective client service, and efficient internal process management.

What You’ll Be Doing
For starters, you’ll be required to live our values. We base all our decisions on these, including who we promote. Your primary responsibility will be delivering outstanding experiences to our advisors and clients. Here are some specifics:

  • Client Interactions: Answer phones in an upbeat, friendly, and professional manner

  • Client Service Resolution: Manage and resolve client service inquiries and ensure client satisfaction

  • Account Opening: Setup new accounts, which includes the collection of documents and relevant information

  • Client Maintenance: Process and monitor client transactions such as account transfers, move money, account notifications, RMDs, and beneficiary changes, ensuring accuracy and compliance with company policies

  • Client Follow-Up: Make sure all paperwork is processed and completed

  • Workflow Management: Utilize our CRM to complete assigned tasks related to the client

  • Documentation: Document client and advisor interactions in our CRM

  • Scheduling Meetings: Coordinate and schedule client meetings as needed, ensuring availability of all necessary parties

  • Advisor Support: Assist advisors in meeting preparation and post-meeting work

  • Systems Knowledge: Become an “expert” in the various technologies our operations team utilizes

  • Day-To-Day Support: Participate in and sometimes manage special projects as assigned by supervisor

  • Ownership: Demonstrate ownership and follow through with inquiries and tasks associated with clients

Things We Require

First and foremost is a passion to help others. In addition, a bachelor’s degree in a finance-related field from an accredited institution is required along with a strong focus on details, excellent verbal, written, analytical and interpersonal skills and computer knowledge. It’s our desire that you come to us with a minimum of 3-5 years of relevant experience.
